Rehearsal Locations and Check-In Process

General Information:

CKYO COVID19 HEALTH CHECK FORM at CHECK-IN: Every week we will ask the parent and student to complete a Health Check form that basically attests to the fact that the student and no one in their family has tested positive for the virus or been knowingly exposed to the virus in the past 14 days.  We will ask you to do this each week along with having the student's temperature checked upon entry to the rehearsal area each week. This is for the safety and health of all of our students and their families and the CKYO staff. Click HERE to print the form, complete, and bring to rehearsal next week or HERE to complete it online for this first week. If we don't have a form presented at check-in or completed online, we will ask students to verbally answer these questions. Students will receive hard copies to use for the additional rehearsal weeks in their folders at the first rehearsal that should be completed and turned in at check-in each week. CKYO's additional COVID19 SAFETY PROTOCOLS are listed  HERE.

REMIND: All cell phone numbers of parents and students who opted into using the Remind App for announcements have been added and you should have received a text from Remind. If you did not receive one, it is possible that you have opted out of their service in the past.  If you want to add your cell number/student's cell number to the Remind list for your ensemble, please follow the instructions below for the day of the week your rehearsal meets.

You may also use Remind to immediately get in contact with CKYO staff in advance of a rehearsal if an issue should arise. This will be the most efficient way to let us know about anything! But you may also email or call and leave a voicemail on rehearsal evenings.

PARENT INFORMATIONAL MEETING:  Typically at the start of each CKYO Season a Parent Meeting is held during the first rehearsal.  Since we are limiting the number of individuals inside each rehearsal location for the safety of the students, conductors, and staff, these parent meetings will be provided as a video. After watching the video (about 15 minutes in length), parents are welcome to email questions and concerns to the office.  The Parent Informational Video is AVAILABLE HERE.

 

REQUIRED REHEARSAL MATERIALS:  

All students should bring to rehearsals:

  • Instrument

  • Music Stand

  • Pencil

  • Extra Strings/Bow/Rosin/Mutes, etc

  • Water - no access to drinking fountains currently.


Monday Evening REHEARSALS
Location: ArtsPlace (161 N Mill Street, downtown Lexington)
Monday Ensemble 1: 6:30pm - 7:30pm

Woodwind Ensemble 1: 6:30pm - 7:15pm

Woodwind Ensemble A: 7:45pm - 8:30pm

Monday Ensemble A: 8:00pm - 9:00pm


Arrival: Check-in will happen at the main entrance on Mill Street - between the two cement planters - Look for the CKYO sign.

Please do not plan to come into the building until 15 minutes before the start of your rehearsal:

Monday Ensemble 1 and Woodwind Ensemble 1 begin at 6:30pm - check-in begins at 6:15pm

Woodwind Ensemble A begins at 7:45pm - check-in begins at 7:30pm

Monday Ensemble  A begins at 8:00pm - check-in begins at 7:45pm

We are trying to avoid too much traffic in the front lobby, so if you see a crowd forming on the sidewalk please remain distanced from others. 

Each student will have their temperature read and should turn in the CKYO COVID 19 Health Check Form each week. Hand sanitizer is available at check-in and in the rehearsal room. You must be wearing a face mask that securely covers your nose and mouth at all times once you enter the building. Winds and Brass will have slit masks and instrument bell covers supplied at your first rehearsal.  These masks are your responsibility and you must bring them and use them at each rehearsal. Please wear a regular face mask at check-in until you receive your specialty face mask for playing your instrument.


There is NO Parent Waiting Area available in the ArtsPlace building at this time. We are working to reduce the number of persons in the building at all times.

Follow signs or staff to the rehearsal area maintaining distance from others.  Winds and Brass will have slit masks and instrument bell covers supplied at your first rehearsal.  These masks are your responsibility and you must bring them and use them at each rehearsal. Please wear a regular face mask at check-in until you receive your specialty face mask for playing your instrument.

Once in your rehearsal room, find your chair. Your name will be on your chair with your folder. You will receive a paper folder with music in it. The folder and music is your responsibility.  If you lose a piece of music, please let your conductor know immediately upon arrival.

Bathroom Use - students may use bathroom facilities one at a time and will not be allowed to congregate in any space together. If you need to use the restroom upon arrival, please do so immediately so that you are prepared to begin rehearsal precisely once it begins.

There will be no break (as we normally have during CKYO rehearsals) during your rehearsal. 

Once rehearsal is complete please pack up and exit through the designated exits. If a parent is not there waiting (in front of the building or in a lot at the end of rehearsal when you are exiting), we prefer the student not exit the building until the parent's car is visible by staff. Do not wait alone out of sight of CKYO staff.  If you are driving yourself and would like a staff escort to your car, please let Amelia know!


The staff appreciates PROMPT pick-ups at the end time of the rehearsal so we may safely prepare the space for the next ensemble or clean up and disinfect the space at the end of the evening.

Parking: There are paid parking lots on either side of the building or in the lower lot off of Church Street (Between N Mill and Broadway). There are also meters on Church Street that are free after 5pm. We recommend parking as close as possible to the building as this rehearsal is located downtown. Parents - if you are waiting in your car for the duration of the rehearsal, you will likely be okay to stay in a paid lot without paying and move your car if you notice Parking enforcement. We know this is not an ideal location, however we don't have as many options as we would like that can accommodate our ensembles maintaining safe distances.

Tuesday Evening REHEARSALS
Location: Tates Creek Christian Church (3150 Tates Creek Road)
Tuesday Ensemble 1: 6:15pm-7:15pm (updated time 10/6/20)

Brass Ensemble: 6:30pm - 7:15pm 

Percussion Ensemble - 7:45pm - 8:45pm

Tuesday Ensemble A: 7:45pm - 8:45pm

Arrival: 
Check-in will happen at DOOR E on the side of the building right near the playground equipment. The door will be propped open. The church parking lot can be accessed going N on Tates Creek Road or off of Albany Road.

Please do not plan to come into the building until 15 minutes before the start of your rehearsal:

Parking: There is a large parking lot  behind the building. Look for parking that is closest to Door E, which is what we will use for entrance and exit.
 

Wednesday Evening REHEARSALS
Location: St. Luke United Methodist Church (2351 Alumni Drive)
Wednesday Ensemble 1: 6:30pm - 7:30pm

Woodwind Quintet 1: 7:00pm - 7:45pm

Wednesday Ensemble A: 8:00pm - 9:00pm

Woodwind Ensemble A: 8:15pm - 9:00pm


Arrival: 

Please enter in the main entrance (Door 3) under the covered entryway near the circular/covered drop off. This entrance faces Alumni Drive.

Please do not plan to come into the building until 15 minutes before the start of your rehearsal:

Wednesday Ensemble 1 begins at 6:30pm - check-in begins at 6:15pm

Woodwind  Quintet 1 begins at 7:00pm - check-in begins at 6:45pm

Monday Ensemble  A begins at 8:00pm - check-in begins at 7:45pm

Once in your rehearsal room, find your chair. Your name will be on your chair with your folder. You will receive a paper folder with music in it. The folder and music is your responsibility.  If you lose a piece of music, please let your conductor know immediately upon arrival.

Bathroom Use - students may use bathroom facilities one at a time and will not be allowed to congregate in any space together. If you need to use the restroom upon arrival, please do so immediately so that you are prepared to begin rehearsal precisely once it begins.
